How It Works

   Face recognition enrollment on the Registry App (30 seconds)

   Staff open the Staff Portal app and scan their face at the Registry to request access — you approve their device with one tap from their staff profile. Their app is then locked to that one approved phone, so a shared code can never log anyone in.

   Banking info, ID, address, emergency contacts — entered by the staff member directly on their phone, with daily access secured by fingerprint or PIN

“Does this work offline?”

Sign-ins and sign-outs do. They queue on the Registry device with no internet at all and sync when the connection returns, holding up to 7 days before the oldest start to drop. Two things need a connection: adding a new staff member and enrolling their face, and confirming a face match on the spot — matching runs in the cloud, so an offline scan is confirmed when it syncs rather than at the kiosk.

“What if staff share QR codes?”

A code is tied to one staff member and cannot sign anybody else in, and it rotates every 30 seconds and stops working 5 minutes after it was generated — so a photograph taken yesterday is useless. Inside those five minutes it is still a live code, so treat it like a door key. That is exactly why face scan is the primary method: a face cannot be handed to a colleague.

“What if SARS changes tax rates?”

We maintain them for you. The system is set for the 2026/2027 tax year. When SARS announces a change, we update the tables and ship it to every customer in a release — rates are not something you edit, and nothing on your side needs doing.

“Can the AI make mistakes?”

If you tell it to. All CORTEX actions can be undone, and you decide the level of autonomy it operates at. Prefer to approve every step yourself? That works too — CORTEX doesn't mind. Behind the scenes, every action is monitored 24/7 by our safety protocols manager.

“Do I need special hardware?”

No. The apps run on any existing Android or iOS smartphone and use the phone's built-in camera and fingerprint. No special scanners, no dedicated cameras, no expensive equipment.

“Can I cancel, upgrade, or downgrade?”

Yes — any time, no questions asked. Request an upgrade or downgrade from your billing page and our team confirms it with you within 24 hours. Cancel with one click: your service runs to the end of the billing period you have already paid for, and your data is kept for 90 days after that so you can reactivate without losing anything. No lock-in contracts, no cancellation fees.
