Actualogic is a workplace tool. It holds the records a business keeps about its own operation — jobs, stock, money — and the minimum needed to identify the people doing the work.

Who we are

Actualogic is operated by Actualogic, South Africa. In data-protection terms your employer — the organisation whose account you sign in to — is the responsible party (POPIA) or controller (GDPR) for the records in their account. Actualogic is the operator / processor: we hold and process that data on their instruction.

What the app collects

Account holders (managers and administrators)

Staff members

Actualogic does not ask staff for an email address, phone number, home address, ID number or date of birth.

Photos, video and audio

Where a job requires proof of work, the app captures a photo or a video — including the audio in that video — using the camera and microphone. The microphone is also used when you dictate to the in-app assistant. Media is captured only when you actively press record or take a photo, and is attached to the job it was captured for.

Why we hold it

Only to make the product work: to sign you in, to show a worker the jobs assigned to them, to record that a job was completed and prove it was, to keep stock and financial records accurate, and to send job notifications. Financial and audit records are kept unchangeable on purpose, so that a business's books can be relied upon.

Where it is stored, and for how long

Data is stored in the European Union (AWS eu-west-1), which means it may be transferred outside South Africa. Transfers are made under the contractual protections required by POPIA section 72 and Chapter V of the GDPR.

Operational records are kept for as long as the organisation's account is active. Farm-side records — jobs, templates, zones — can be deleted by the account's administrators at any time. Financial and audit records are retained, and archived rather than erased, because tax and audit law requires a business to be able to produce them. On written request we will delete an organisation's data within 30 days of its account closing, except records we are legally required to keep.

How it is protected

Your rights

Under POPIA and the GDPR you may ask to see the personal information we hold about you, to have it corrected, or to have it deleted. Because your employer controls the account, the quickest route is usually to ask them directly. You can also write to support@actualogic.co.za and we will act on it, or pass it to the responsible organisation, within 30 days.

If you believe your information has been mishandled, you may complain to the Information Regulator of South Africa, or to your local supervisory authority in the EU.

Children

Actualogic is a tool for workplaces and is not directed at children. We do not knowingly collect information from anyone under 18.

Changes

If this policy changes materially we will update the date at the top of this page and, where the change affects how personal information is used, notify account administrators by email.
